Onboarding & compliance docs in Foreman: how it works
Onboarding a new starter usually means a stack of forms, a photo of a licence on someone's phone and a reminder that never gets set. Foreman sends new staff a self-onboarding link and keeps their documents on their staff profile, with expiry dates you can see coming.
Step 1
Add the team member
Enter their name, contact details, job title and employment type. Foreman creates an onboarding record and opens their staff profile.
Step 2
Send the self-onboarding link
The new starter gets a branded wizard with a checklist of what to have ready and an upload card for each document, then submits everything for review in one go.
Step 3
Review and activate
Submitted records appear under Onboarding ready for review. Check the details, then activate the person and send their app invitation when you're ready.
Step 4
Keep documents current
The Documents tab on each profile holds uploads, document requests, AI review and expiry alerts, so a licence or ticket running out doesn't come as a surprise.

What does the new starter need to have ready?
The wizard lists it up front, for example tax and bank details, super fund, login details and any documents you've requested. Australian workspaces show TFN, BSB and super steps.
Can other staff see someone's documents?
No. Without HR access, staff see coworkers only as a directory (name, title, photo and contact details), never their documents, pay rates or addresses.
Does the new starter get app access straight away?
Invitations are sent separately from Access & invites when you're ready, and self-onboarding links that create a login add the person as field crew.
