Update the table from supplier quotes and renewal documents. Set a cash gate using your own figures. Do not open the calendar if setup purchases and first-job costs depend on an unpaid customer invoice.
Use one pricing method and Canadian terms

Markup is added to cost to produce the selling price. Margin is profit expressed as a share of that price. Keep the same cost buckets from estimate through completed-job review.
In Canada, call approved extra work a change order. Do not use variation or variation order on the quote, site record or invoice.
Keep Canadian job documents tied together
Use an estimate when inspection has not produced enough information for a firm quote. Use a quote when you can state the included work, exclusions, access assumptions, customer responsibilities, price and payment terms. The quote-writing guide provides a reusable structure.
When the site changes, stop before completing the added work whenever conditions allow. Keep a change-order record containing:
- Customer and site
- Source quote and document number
- Changed condition and changed scope
- Changed price and GST/HST treatment
- Effect on timing
- Approver's name
- Approval method and approval date
Keep the email, message, signature or other approval evidence with the job. If an emergency requires make-safe work, define and authorize that process before dispatch. Keep it separate from approval for the permanent repair or other added work.
Ask your provincial or territorial trade licensing and safety authority whether licence information must appear on the quote or invoice. Ask the Canada Revenue Agency which GST/HST details belong on the invoice. Ask the municipality responsible for the job whether its permit information must appear on job documents.
Worked document path: Oak Street
This is the house electrical example in sample currency units, not a Canadian plumbing rate card. Estimate E-1847 for R. Chen at 14 Oak Street gave a range of 900–1,400. Quote Q-1847 set the total at 1,105 and excluded chasing because the ceiling was lined.
Extra cable and chasing were approved as a 160 change order, making invoice INV-1847 total 1,265. The job cost measured against the original quote was 850, so profit was 255. Markup was 255 ÷ 850 = 30%, and margin was 255 ÷ 1,105 ≈ 23%.
Do not calculate profit from the 1,265 invoice. The costs attached to the change order are not given, so combining that invoice with the original job cost of 850 would overstate job profitability.
Use the same stop-and-document rule when a wall is opened and the existing pipe route does not match the access assumptions. Use it when an isolation valve does not shut off the section being repaired.
Screen and control the first plumbing jobs
Send referral contacts a plain scope statement: “We accept [job types] for [customer type] in [travel boundary]. We do not take [declined work]. For an enquiry, send the site address, photos, access details and the work needed.”
Screen replies for location, licence fit, job type, urgency, access and permit questions. Check response expectations and payment terms against your keep-or-decline test. Do not promise a fixed price or arrival window until you have enough site information.
Create the job record before labour starts, materials are ordered or the van leaves. Give it a customer, site, accepted scope and document reference.
Make cost tracking part of the field job
Record actual labour, materials, subcontractors and job-specific expenses in the same buckets used for the estimate. Assign purchased materials and van-stock items to the job. Attach receipts, subcontractor bills and approved change orders.
If a technician takes a fitting from van stock, assign it before closing the job. If the office is missing labour time, a supplier receipt or change-order approval, hold the invoice until the record is complete.
